This Privacy Policy describes how CTBN4Cornellians.com ("CTBN", "we", "us") collects, uses, shares, and protects personal information when you visit our website, apply for membership, use the member portal, register for events, or interact with CTBN emails and communications.

CTBN is a volunteer-led alumni networking community. We collect only the information needed to operate membership, events, and professional networking features.

  • Identity and contact information: name, email address, mobile phone number, city, state, country/region, LinkedIn URL, and optional calendar booking link.
  • Cornell affiliation: NetID (if provided), degrees, schools/colleges, class year, Cornell relationships, club and group affiliations, leadership organizations, and networking objectives.
  • Professional information: industry, company, job title, company description, company website, and related profile fields you choose to provide.
  • Account and authentication data: sign-in identifiers, one-time sign-in links, verification timestamps, and session information.
  • Event information: registrations, role assignments, breakout room participation, attendance-related metadata, and responses to event forms.
  • Communications data: email delivery status, campaign preferences, unsubscribe requests, and support correspondence.
  • Technical data: device/browser type, IP address, and security logs needed to protect the Services.
  • Optional profile photo if you upload one.

3. How we use information

  • Process membership applications and maintain member profiles.
  • Authenticate users and secure accounts.
  • Operate event registration, reminders, confirmations, and post-event follow-up.
  • Facilitate member directory and networking features among active members.
  • Send operational messages you should receive as part of membership or event participation.
  • Send CTBN announcements about upcoming events and community opportunities, subject to your preferences.
  • Assign and communicate about volunteer or speaker roles.
  • Improve the Services, prevent abuse, and comply with legal obligations.
  • Retain event recordings and related materials where needed for CTBN community operations, as disclosed during registration.

5. How we share information

We do not sell your personal information. We may share information in these situations:

  • With other active CTBN members through directory, event networking, or co-registration features, according to your profile visibility and product settings.
  • With volunteer organizers and CTBN administrators who need access to run membership review, events, communications, and community operations.
  • With service providers that help us operate the platform, such as hosting, database, email delivery, and security providers. These providers may process data only to perform services for CTBN.
  • When required by law, legal process, or to protect the rights, safety, and integrity of CTBN, members, or others.
  • In connection with a merger, reorganization, or transfer of community operations, with appropriate notice where required.

CTBN uses reputable infrastructure and communications providers to deliver the Services. Depending on how you interact with CTBN, data may be processed by providers such as:

Each provider processes information according to its own privacy terms. We configure providers to support CTBN's operational needs and require appropriate safeguards where applicable.

  • Supabase — database, authentication, and application infrastructure.
  • Resend — transactional and community email delivery.
  • Cloudflare Turnstile — bot and abuse protection on public forms.
  • Vercel — website hosting and application delivery.
  • Zoom or similar platforms — when you join CTBN virtual events through links provided by organizers.

7. Data retention

  • We retain member profile and event history while your membership remains active and as needed thereafter for community records, dispute resolution, and legal compliance.
  • Authentication logs and security records are retained for a limited period appropriate to security needs.
  • Email delivery logs may be retained to measure deliverability and troubleshoot communications.
  • You may request deletion subject to operational, legal, and archival requirements.

8. Your choices and rights

  • Access and update most profile information through the member portal.
  • Opt out of non-essential marketing emails using the Unsubscribe page or by contacting us.
  • Request correction or deletion of personal information by emailing us, subject to limits described above.

  • Depending on where you live, you may have additional rights under applicable privacy laws, such as the right to know, access, delete, or restrict certain processing.

9. Security

We use administrative, technical, and organizational measures designed to protect personal information, including access controls, encrypted transport, and row-level security in our database. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children

The Services are intended for adults participating in a professional alumni network. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

11. International users

CTBN is based in the United States and primarily serves Cornellians worldwide. If you access the Services from outside the United States, you understand that information may be processed in the United States and other countries where our providers operate.

12. Relationship to Cornell University

CTBN collaborates with Cornell alumni volunteers and may reference Cornell University in describing our community. CTBN's website and member platform are operated independently. This Privacy Policy describes CTBN's practices only. Cornell University's own privacy policies apply to Cornell-operated systems and services outside this platform.

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page indicates when it was last revised.
